NoChurn for healthcare software

Clinics pay for software like any small business, and leave like one: a card expires, a practice closes, a new owner switches tools.

  • The billing contact reached, not just the user
  • Direct debit failures handled
  • Pause for leave instead of cancel

DATA COMES IN

Your app tells NoChurn what it knows.

Send usage events and attributes through the API or SDK. NoChurn turns them into a churn score and acts before the customer reaches the cancel button.

Custom data & AI

Practice management, scheduling, telehealth and clinic software is sold to businesses: independent practitioners, small clinics, therapy groups, dental and physiotherapy practices. The software holds sensitive records, but the subscription itself is ordinary B2B billing. A card on file, a monthly or annual plan, a billing contact who may not be the clinician. That is the part NoChurn works on.

NoChurn never needs patient data

Say it plainly first, because it is the first question a healthcare team should ask. NoChurn works on your customers, the practices and clinicians who pay you, not on their patients. It reads subscriptions, invoices, payment attempts and cancellations from your billing tool, plus any attributes you choose to send about the practice account.

None of that requires patient names, appointments, diagnoses, notes or anything else about a patient’s health. Do not send it. When you choose custom attributes, keep them at the account level: number of seats, number of locations, feature usage counts, last login of the account. Aggregated counts such as “appointments booked this month” describe how much the practice uses your product; they do not need to identify anyone.

NoChurn makes no claim about HIPAA or any other health privacy regime. Rules on health data differ by country and by how your product is built, so before connecting any new vendor, check with your counsel what may and may not leave your system. The safe default is simple: billing data and account-level usage only.

Where healthcare software loses customers

Involuntary churn

  • Cards held by one person. A solo practitioner or practice manager pays with a personal or company card. When it expires or is replaced, payments fail and the reminders reach an inbox that is busy with clinical work.
  • Billing contacts who are not users. An office manager or outside bookkeeper pays the invoice. The clinicians who depend on the software never see the failed payment notice.
  • Direct debit in some markets. Clinics in Europe or the UK often prefer bank debits. These fail differently from cards (closed accounts, cancelled mandates) and need a different message.

Voluntary churn

  • Practice changes. A clinician retires, a practice is sold, two practices merge onto one system. Some of this churn cannot be saved, and it should not be fought.
  • Seasonal or part-time practice. A practitioner on leave or working fewer days wants to stop paying for a while, not leave for good.
  • Tool consolidation. A group buys a larger platform and drops the specialised tools around it.
  • Switching cost felt too late. Practices that never finished migrating their data or configuring templates are the most likely to leave at renewal.

How NoChurn handles it

Failed payments

On Stripe, NoChurn retries failed payments at times based on the decline reason and likely paydays. Recovery emails are written by AI for each practice and you can review them before they go out, so the tone fits a clinic rather than a collections notice. Each email links to a hosted card update page; card data stays with your payment provider. On Chargebee, Recurly, Maxio, Zuora, GoCardless and the other supported tools, NoChurn adds AI emails and a card update link next to the provider’s own dunning. See failed payments and involuntary churn.

Churn score

Each new practice gets a score from 0 to 100 at signup and again on every change, based on payment method, signup source and any custom data you send. A practice that removes its card before a renewal is flagged early, before the payment fails. See churn score.

Cancel flow

The cancel flow asks why the practice is leaving and shows an offer that fits:

Reason Suitable offer
On leave or fewer patients for now Pause the subscription
Fewer clinicians Move to a smaller plan
Too expensive A discount
Missing a feature or migration stuck Offer a call with your team
Practice closing or sold No offer: let them go cleanly

A one-click “cancel now” button stays visible on every step. Use the hosted modal with your branding, or build the screens yourself with the headless API inside your admin settings. See cancel flows and cancel flow best practices.

Win-back

Practices that leave get win-back emails at 30, 60 and 90 days, written from their cancel reason. A practitioner who paused for leave hears from you around their return; one who left for a missing feature hears when it ships.

Chargebacks

Disputes are rarer in B2B software, but they happen, often when a practice forgets a renewal. On Stripe and Braintree, NoChurn gathers evidence automatically (cancel flow answers, emails sent, account usage, support conversations) and drafts a reply that is sent only after a person on your team reviews it. Keep patient information out of that evidence too: account usage counts are enough.

Custom data worth sending

  • seats and locations: do single-practitioner accounts leave more than groups?
  • specialty: does churn differ by type of practice?
  • activated_at: did the practice finish onboarding and data migration?
  • last_active_at: last login of any user on the account.
  • key_feature_usage: counts only, for example online booking turned on, reminders sent per month.
  • billing_interval: monthly or annual.
  • support_tickets: from your help desk.
  • country

NoChurn shows which attributes go with churn, with sample sizes, and AI explains them. Correlation, not cause. See custom data and predicting churn with customer data.

Integrations that fit

  • Stripe for most self-serve clinic software, connected in one click.
  • Chargebee, Recurly, Maxio or Zuora if you sell larger plans with invoicing.
  • GoCardless or Mollie for practices paying by bank debit.
  • Any billing, by API if your billing is built in house.
  • Help desks such as Zendesk or Intercom, read only, for support signals. Make sure the conversations NoChurn can read are about your product and accounts, not about patients.

What to watch out for

  • Data minimisation. Decide with your counsel which fields may be shared with a vendor, and keep NoChurn’s inputs to billing and account-level usage.
  • Contract terms. Annual contracts with notice periods are common in this sector. Make the cancel flow follow your actual terms, and keep the cancel button working: a cancellation that is asked for gets executed.
  • Cancellation rules. Rules on online cancellation vary by country; see our overview of click to cancel rules and check with your counsel for your markets.

How NoChurn helps

For healthcare software, NoChurn recovers failed practice payments, offers a pause or smaller plan before a cancel, wins back practices with a message that fits why they left, and does all of it on billing and account data alone. Every feature is on every plan, priced only by MRR and never by a share of recovered revenue. See pricing, or the pages for B2B SaaS and vertical SaaS.
